- PRIMARY FUNCTION
- Assist in managing and administering the clinical services in the AH (After-Hours) office.
- ESSENTIAL FUNCTIONS OF THE JOB

- Assist Clinical Manager with training/orientation, monitoring and mentoring AH clinical employees on departmental policies, clinical procedures and ensure policies are being followed.
- Assist the Clinical Manager in the evaluation of the clinical staff and remediation of areas of opportunities.
- Assists the Clinical Manager with supervising the AH employees’ daily punches, Performance (Phone and floor), overtime management and call outs.
- Responsible for the monitoring of After Hours phone agents service level (Log in-out reports, customer service, review bins, etc.)
- Assist the Clinical Manager in the shift transition process to ensure seamless shift coverage from days to After Hours.
- Coordinate, direct and evaluate activities of staff ensuring that the office runs smoothly and providers have adequate coverage.
- Assist with staffing coverage for local office.
- Adjust work schedules and hours as necessary and delegate assignments to staff.
- Monitor AH patient schedule/ physician templates and call AH General Manger or On-Call Physician Scheduler when necessary.
- Oversee weekly stocking and cleaning of exam rooms and nursing stations.
- Assist with A/H employees’ performance evaluation and provide feedback as needed.
- Maintains daily and weekly communication with management team (Managers, Leads, etc.) to notify them of all identified areas of opportunity and implement quality improvement initiatives.
- Maintain communication between Human Resources, department heads (A/H Lead, Clinical Manager, AH Manager) and medical staff regarding matters such as administrative issues/problems, maintaining departmental goals or objectives and performing departmental evaluations.
- Assist Clinical Manager with performing new hire duties such as ensuring orientation/ new hire paperwork is completed and submitted to Human Resources for employee file.
- Resolve, document and report any conflicts/disputes or incidents/accidents involving providers, clinical staff, patients, and or parents.
- Assist Clinical Manager with performing all inventory duties including ProcureIT withdrawals, documenting, inspecting and unloading shipments of supplies received including vaccines and securing IPad at shift end.
- Assist Clinical Manager with the copying of medical records when necessary.
- Assist Clinical Manager with supervising MA/Phone review bins and to ensure timely completion of tasks.
- During A/H sessions, be responsible for Patient Service Coordinator duties such as referrals, PT inquiries, and serving as a liaison for Primary Care Providers.
- Assist Clinical Manager with insuring that staff is up to date and complies with legal regulations set out by HIPAA and OSHA and follow all OSHA and Safety requirements for rooms and documentation.
- Prepare treatment rooms for patient examinations, keeping the rooms neat and clean.
- Clean and sterilize instruments and dispose of contaminated supplies.
- Measure and record patients' vital signs, such as height, weight, temperature, blood pressure, pulse and respiration.
- Check to make sure that patient history is complete i.e.(immunization records, allergy to medications, birth weights etc...).
- Show patients to examination rooms and prepare them for the physician.
- Obtain brief summary of patient complaint, document any immunizations needs and read previous visits to obtain follow-up plan as needed.
- Assist doctors in any necessary procedures such as giving injections or removing sutures.
- Obtain authorization for drug refills and provide prescription information to pharmacies.
- Perform sensory screening as needed.
- Fill out any necessary paper work for patient’s i.e. (school forms, medication forms).
- Call hospitals to obtain any necessary results i.e. (lab and x-ray results).
- Complete any necessary referrals and referral cover sheets for doctor approval. Call insurance companies to obtain necessary authorization for certain procedures.
- Set up any home therapies for patient use.
- Explain treatment procedures, medications, diets and physicians' instructions to patients.
- Keeping a clean, safe and organized work environment for patients and staff.
- Attending any necessary meetings to be up to date on changes in protocol and procedures.
- Working as a team with nursing and front office staff for optimal patient care.
- Assisting the doctor in emergency situations.
- Assist the Clinical Manager in keeping expiration dates current on all sample medications and formulas.
- Assist Clinical Manager in keeping medications and supplies on the crash cart current.
- Administering immunizations and medicine injections as ordered by provider.
- Performs other various duties as assigned, including cross training in other functional areas.
- PERFORMANCE REQUIREMENTS
- High School Diploma or equivalent. Graduation from an accredited practical/technical school of nursing or college.
- L.P.N. or R.N. or M/A with certification and 1-3 years of work experience.
Knowledge, Skills & Abilities:
- Ability to perform necessary vital signs for pediatrics and obtain patient histories. Knowledge of basic medical terminology, and immunization requirements for children. Ability to assess emergency situations and act accordingly. Knowledge of management and nursing organizational theory to supervise the operation of the nursing department. Knowledge of the principles and practices of employee development to train, delegate and mentor staff. Knowledge of medical safety practices and standard requirements to evaluate existing standards and implement new procedures. Ability to plan, prioritize, organize and direct the work of others. Ability to communicate clearly. Skill in developing and maintaining department quality assurance. Skill in identifying problems and researching and recommending resolutions. Skill in preparing records, writing reports and responding to correspondence. Ability to maintain effective working relationships with patients, employees and the public. Active CPR certification required.
- Prefer one to three years work experience in a medical office setting. Knowledge of computer desired.
